Guide for Attendees: Signing Up for an Event

Overview

To sign up for an event, you'll need:

• A signup link from the activity coordinator (the person organizing the event)
• Your name and phone number (required)
• A few minutes to read and accept the waiver

The signup process takes just a few minutes and ensures you're registered and have accepted the necessary safety waivers.

Step-by-Step Instructions

Step 1: Access the Signup Link

1. You'll receive a signup link from the activity coordinator organizing the event
   • This link may be shared via WhatsApp, Instagram, email, or other communication channels
   • The link will look something like: https://yourwebsite.com/signup.html?id=abc123
   • When shared on social media, the link will show a preview with event details (thanks to Open Graph tags)
2. Click on the signup link or copy and paste it into your web browser
3. The signup page will load and display information about the event
   • You'll see the event title (if the activity coordinator provided one), location, activity coordinator name, date/time, and spots available

Step 2: Review Event Details

Before signing up, take a moment to review the event information displayed on the page:

• Location: Where the event will start
• Activity Coordinator: The name of the person organizing the event
• Date & Time: When the event is scheduled
• Spots Available: How many spots are remaining (e.g., "5 of 10")

You'll also see a map showing the exact location where the event will start.

Step 3: Fill Out the Registration Form

The registration form has several fields. Here's what you need to know:

Name *

• Enter your full name as you'd like it to appear on the signup list
• This field is required
• Example: "Michael Johnson" or "Sarah Chen"

Phone Number *

• Enter your phone number
• This field is required
• Privacy Note: We will only use your number to verify you are human and for WhatsApp messages about this event
• The activity coordinator may use this to contact you about the event
• Format: You can enter it with or without dashes (e.g., "305-555-1234" or "3055551234")

Email Address (Optional)

• Enter your email address if you'd like to receive updates via email
• This field is optional - you can leave it blank if you prefer
• If provided, the activity coordinator may use this to contact you

Instagram Handle (Optional)

• Enter your Instagram username (without the @ symbol)
• This field is optional
• Example: If your Instagram is @eventmike, enter "eventmike"
• This helps the community connect on social media

Step 4: Read and Accept the Waiver

Before you can complete your registration, you must read and accept the Electronic Waiver of Liability, Media Release, Code of Conduct, and Communication Consent.

1. Read the waiver: Scroll through the waiver text in the box provided
   • The waiver covers important safety information, liability, media consent, and code of conduct
   • Take your time to read through it carefully

2. Accept the waiver:
   • Check the box that says: "I accept the Electronic Waiver of Liability, Media Release, Code of Conduct, and Communication Consent. (Required to complete registration)"
   • This checkbox is required - you cannot submit the form without accepting

Step 5: Submit Your Registration

1. Once you've filled in your name and phone number, and accepted the waiver, the "Sign Up" button will become active
2. Click the "Sign Up" button to submit your registration
3. The form will process your submission (this may take a few seconds)

4. After successful submission, you'll see a success message: "Successfully signed up for the event!"

5. The form will reset, and the event information will update to show the new number of spots available

• Phone Number Privacy: Your phone number is only used for verification and WhatsApp communication about the event
• Secure Registration: All data is securely stored and protected
• Waiver Protection: Your waiver acceptance is recorded for safety and legal compliance

Tips for Attendees

Before Signing Up

• Check your schedule: Make sure you're available for the date and time of the event
• Review the location: Ensure you know where the event is starting and how to get there
• Check spots available: If the event is full, you may need to wait for another event or contact the activity coordinator

After Signing Up

• Save the date: Add the event to your calendar
• Plan your route: Know how you're getting to the starting location
• Arrive on time: Be punctual - the group will likely start on time
• Bring essentials: Water, appropriate gear for the activity, and a positive attitude!

Best Practices

• Be respectful: Follow the code of conduct and treat all participants with respect
• Communicate: If you need to cancel, try to let the activity coordinator know in advance

Troubleshooting

The signup link doesn't work

• Make sure you copied the entire link correctly
• Try opening the link in a different web browser
• Check if the link has expired or if the event has been cancelled
• Contact the activity coordinator for a new link if needed

The event shows as "Full"

• The event has reached its maximum number of participants
• You may see a message saying "Event is Full" instead of the signup form
• Contact the activity coordinator to see if there's a waiting list or if another event is scheduled

I can't see the map

• Make sure your internet connection is working
• Try refreshing the page
• The map may take a moment to load

The form won't submit

• Make sure you've filled in your name and phone number (required fields)
• Check that you've accepted the waiver by checking the checkbox
• Verify that spots are still available (the event may have filled up)
• Try refreshing the page and filling out the form again

I need to change my information after signing up

• Contact the activity coordinator directly to update your information
• If you're an administrator, you can manage signups through the admin dashboard

I accidentally signed up twice

• Contact the activity coordinator - they can remove duplicate signups from their management dashboard
